Every group needs something different from us, and we built four distinct ways of working so you get exactly the level of involvement that fits your event, not a one-size-fits-all package. Full Concierge

• Headwaters is with you every step of the way each entire day, from arrival to wrap-up

• We are the single point of contact for anything that comes up, so you never have to chase down an answer yourself

• Best for groups who want to be fully present and let someone else run the room

Design and Launch

• We design the full program and are there in person to make the introduction at the start of each vendor interaction

• Once everyone is comfortable and the handoff is made, we step back, but we remain reachable as your single point of contact for anything that comes up, so you never have to chase down an answer yourself

• Best for groups who want a strong opening and the freedom to run their own day after that

Blueprint Only

• We design the complete program, confirm every vendor detail, and get all contracts signed before you are ever in direct contact with a vendor

• Once everything is finalized, we hand the plan and contact information off to your in-house coordinator, and they work with vendors directly on day-to day logistics, timing and arrival details, while invoicing still flows entirely through us and we remain reachable for your in-house coordinator and the vendors if anything comes up that would change the terms of the contracts

• Best for groups who want the planning handled but prefer to run the actual day-to-day themselves

Companion Experience Programming

• When your group brings along partners, spouses, or family members who aren't part of the working sessions, we build them their own curated menu of experiences drawn from our vendor network

• These guests get something genuinely their own to enjoy while the main program runs, rather than sitting on the sidelines

• One example: a guided scavenger hunt through downtown Front Royal, introducing companions to local shops and businesses with stops and prizes along the way

• This can be layered onto Full Concierge, Design and Launch, or Blueprint Only

Design Your Dream

• Built for personal and celebration retreats, honeymoons, milestone celebrations, and similar intimate experiences

• Think of it like ordering from a menu: you see the full list of what our vendor partners offer, with final pricing already included, and choose exactly what you want

• Go fully à la carte, picking individual experiences one by one, or choose a bundled package where vendors have teamed up to offer something combined at a set price

• Either way, you know exactly what you are getting and exactly what it costs before anything is confirmed

Whichever model fits, one thing never changes: scope and pricing are finalized and agreed by everyone before the engagement begins, and they are never renegotiated mid-event. You deal with us.
